Assignment of Clinical Rotations

The Program assigns all clinical rotations, including order, location, preceptor, and elective specialty placements.

▪Geographic Distribution: Clinical rotation sites may be local, regional, statewide, and throughout the United States.
▪Mission Alignment—Underserved/Rural Exposure: In alignment with the Elon University PA Program in Charlotte mission, all students will complete at least one rotation in a medically underserved and/or rural location.
▪Compliance With Assigned Schedule: Any student who fails to comply with the assigned clinical rotation schedule will be subject to review by the Academic and Professional Advancement Committee (APAC) and possible dismissal from the Program.
▪Site-Specific Requirements: Individual clinical sites may have additional requirements that exceed the Program’s minimums (e.g., immunizations, site orientation, testing, background checks, drug screening, or other prerequisites). Students must meet all site requirements to participate.

 

1) Procedures for Rotation Assignment

A. Elective Ranking Process

The Program will announce the elective ranking window and instructions (via email and/or Exxat).
Students will submit their ranked preferences by the stated deadline.
Rankings are considered in aggregate programmatic scheduling; preferences are not guaranteed.

B. Assignment & Publication

The Program will assign each student’s rotation order, location, preceptor, and elective specialty based on educational needs, accreditation standards, site capacity, and program mission priorities.
Placements will be published in Exxat and are final upon posting.
Assignment of Preceptors: Students will receive an email from the program informing them of the name and contact information for assigned supervised clinical practice experience preceptor/instructor of record ahead of each rotation. In addition, this information will be listed on the SCPE syllabi. A2.17a

C. Changes & Exceptions

Change requests are not permitted.
The Program reserves the right to modify placements only for programmatic, accreditation, or site operational reasons. Students will be notified through Exxat if such changes occur.

D. Site Requirements & Documentation

Students must complete all site-specific onboarding steps (e.g., immunizations, trainings, orientations, testing) by the site’s deadline.
Failure to complete required steps may result in removal from the rotation, APAC review, and delay in progression.

E. Attendance & Professional Conduct

Students are expected to adhere to Program policies, site policies, and professional standards at all times.
Unauthorized absence, refusal to attend, or attempts to trade/swap rotations constitute a professionalism violation and will trigger Academic and Professional Advancement Committee (APAC) review.

2) Responsibilities

A. Program/Clinical Education Team

Assign rotations in accordance with educational objectives, accreditation, and mission-based requirements.
Publish placements in Exxat and communicate key timelines and onboarding instructions.
Ensure at least one underserved and/or rural rotation per student.
The Preceptor of Record will be published in Exxat as a primary point of contact at the clinical site prior to the start of each rotation. Director of Clinical Education is the primary program point of contact for students on clinical rotations. A2.17

B. Students

Submit elective rankings by the deadline.
Review and comply with all rotation details posted in Exxat.
Check email daily for ongoing communication regarding instructions to prepare for rotations.
Complete site-specific onboarding requirements on time. Failure to submit all requirements by established deadlines may result in forfeiture of the SCPE, delaying completion of the program and graduation.
Do not request changes or attempt exchanges with peers.
Maintain professional conduct and adhere to the assigned schedule.

C. Clinical Sites/Preceptors

Provide orientation, supervision, and site-specific safety and onboarding requirements.
Communicate any operational changes that affect student assignments to the Program.

3) Compliance & Enforcement

Violations (e.g., attempting to swap rotations, failing to report, not completing required onboarding) will be referred to APAC for review.
Consequences may include professionalism remediation, rotation removal, course failure, delay of graduation, or dismissal from the Program, consistent with the Student Handbook and program policies.
